2. Overview of How Itemee Works
Itemee can be used without creating an account. If you choose to create an account, additional data is processed to enable cloud synchronization and account-related features.
Certain optional features, such as usage analytics and crash reporting, are disabled by default and can be enabled by you at any time in the app's settings.
3. Information We Collect
3.1 Information You Provide
Depending on how you use Itemee, we may collect:
- Email address – only if you create an account; used for authentication, password recovery, and account-related communication
- Display name – optional; used to personalize your experience
- Inventory data – items, labels, categories, and organizations you create within the app
- Payment-related metadata – if you choose to make a purchase, limited transaction-related information
3.2 Camera Access
Itemee requests camera access for QR code and barcode scanning to quickly identify and look up inventory items.
- Purpose: Scanning QR codes and barcodes printed on items or labels
- Processing: All camera data is processed entirely on your device
- Storage: No images or video are stored, transmitted, or shared
- Control: Camera access is optional. You can deny permission and manually enter item codes instead
Itemee does not collect contacts, photos, precise location data, or advertising identifiers.
3.3 Information Collected Automatically (Essential)
When you use Itemee, we may collect limited technical information necessary for the secure operation of the app:
- Device type and operating system version
- App version
- IP address (used transiently for security and networking purposes)
- Language and locale preferences
3.4 Optional Diagnostics Data (Opt-In Only)
Itemee offers optional diagnostics features that are disabled by default:
- Usage analytics (Firebase Analytics)
- Crash reporting (Firebase Crashlytics)
These features are only activated if you explicitly enable them in Settings → Privacy. You can disable them again at any time.
4. How We Use Your Information
We use your information to:
- Provide and operate Itemee
- Store and sync your inventory data across devices (if you use an account)
- Maintain security and prevent abuse
- Process payments (if applicable)
- Improve app stability and performance (only if diagnostics are enabled)
- Send transactional emails such as verification or password reset emails
5. Legal Bases for Processing (GDPR)
We process personal data under the following legal bases:
- Performance of a contract – to provide app functionality, account services, and data synchronization
- Legitimate interests – to ensure security, prevent abuse, and maintain service reliability

6. Payments
If you choose to make a payment, payments are processed securely by Stripe.
Itemee does not store or process your full payment card details. Payment information is transmitted directly to Stripe and handled according to their security and compliance standards (including PCI DSS).

Itemee uses the following third-party services:
- Google Firebase Analytics – optional usage analytics (opt-in only)
- Firebase Crashlytics – optional crash diagnostics (opt-in only)
- ZeptoMail (Zoho) – transactional email delivery
- Shorebird – over-the-air app updates
- Backblaze B2 – encrypted database backups
- Hetzner Online GmbH – server infrastructure hosting (EU)
8. Hosting and Data Location
Itemee is self-hosted using Coolify on servers provided by Hetzner Online GmbH, located in the European Union (Germany). Your data is processed and stored within the EU.
9. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- Encrypted connections (HTTPS)
- Encrypted backups at rest
- Secure authentication tokens
- Regular updates and monitoring
10. Data Retention
- Active accounts: Data is retained while your account remains active
- Deleted accounts: All associated data is permanently deleted within 30 days of deletion request
- Diagnostics data: Retained for up to 90 days, then automatically deleted or anonymized

Under GDPR, you have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Export your data
- Withdraw consent for optional processing

Itemee is not intended for children under the age of 13. We do not knowingly collect personal data from children.
